Contracted Hours – 37.5 hrs per week

£20,000 per annum

Office Administrator job description

Reporting to and working in partnership with the Cash Team Supervisor, the Office Administrator will be responsible for being first point of contact for callers and visitors as well as maintaining office standards. Also dealing with the input of cash information and expenses in a precise and accurate manner.  

Main Duties – Cash Team

  • To complete bank statement reconciliations daily ensuring all entries are posted correctly into NAV.
  • Update logs for Banking, Bullion, ATM & PDQ with information from the bank statements ensuring it is reconciled.
  • To ensure that all personal expenses, that you are responsible for, are checked, queried, and challenged where necessary and scanned into NAV coded correctly ready for payment.
  • To complete a log with notes from venues weekly banking summaries, including updating float positions and do any amendments weekly.
  • To update all spreadsheets weekly when the NAV journal is posted and ensure all information is correct and reconciled for month end.
   

Main duties – Reception

  • Being first point of contact for visitors, signing them in, offering refreshments & directing them to correct person.
  • Answering telephone calls & transferring to the correct person, taking messages when necessary. Forwarding and logging complaints.
  • Sort and distribute all incoming post, frank, and put outgoing post ready for collection.
  • Booking accommodation and travel.
  • Maintaining office equipment, ordering stationery and kitchen supplies. As well as keeping the post room tidy and ensuring there is stock of all Royal Mail items.
